How can we help?

Plain answers about how Exeo works, based on what the product actually does today. Billing questions live in the pricing FAQ.

01

Getting started

What Exeo covers, from quote to payment#

Exeo runs one pipeline: a priced quote becomes a job, the job's visits land on the calendar, completed visits become an invoice, and recorded payments run the balance to zero. Three surfaces share that pipeline:

  • The web dashboard, where the office plans, prices, and bills.
  • The workforce app, where the field sees today's route, clocks in, ticks checklists, and collects photos and signatures.
  • The client portal, where clients open secure links to approve quotes, view invoices, and pull statements. They don't need an account.

NoteNothing in this help centre describes a roadmap item. If an article says the system does something, that behaviour ships today.

Setting up your workspace in the first week#

  1. 1Set workspace defaults under Settings: currency, tax mode (tax-exclusive, tax-inclusive, or no tax), document numbering, and whether your week starts Monday or Sunday.
  2. 2Import your clients from CSV, or add them by hand. Each client can be a business or a domestic contact.
  3. 3Add sites under each client and fill in the access notes: gate codes, key locations, parking. These travel to every visit at that site.
  4. 4Invite your team and pick each person's role. Admins run the office, and staff work the field app.
  5. 5Build your first quote. When it's approved, one click turns it into a job and the rest of the rail follows.

NoteDefaults are not cosmetic: numbering, tax, and validity settings are applied to every document you create afterwards, so setting them first saves editing them everywhere later.

Roles: admins and staff#

Exeo has two member roles. Admins see and run everything in the dashboard: scheduling, money, settings, and the team. Staff use the workforce app: their own schedule, clock-in, tasks, photos, signatures, messages, and time-off requests.

Each member also carries an employment type (full-time, part-time, contractor, or seasonal), so the team list reflects how your crew actually works.

  • Free: 1 user. Starter: up to 3. Pro: up to 15. Business: unlimited.
  • Seats count members in the workspace, not devices. One person can use the app and the dashboard with the same seat.

What each plan includes#

Every plan runs the same scheduling core and the same workforce app. The plan decides the limits and the money-side features:

  • Free: 1 user, 2 GB file storage. Clients, sites, jobs, scheduling, and the workforce app. No quoting or invoicing.
  • Starter: 3 users, 25 GB. Adds quotes, invoicing and payments, billing defaults, and one invoice reminder after the due date.
  • Pro: 15 users, 250 GB. Adds reports and payroll export, plus a real reminder ladder: up to four reminders, before and after the due date, on your own schedule.
  • Business: unlimited users, 1 TB. Adds custom branding on client-facing documents and up to six reminders.

NoteStorage counts the photos and files your team attaches to work. Every paid plan starts with a 30-day trial; no card is needed to try it.

The dashboard

How the home screen works#

Home answers three questions at a glance: what is happening today, what is in flight, and what money is waiting on you.

  • Today's visits: the day's list with live status (scheduled, in progress, or completed) and the assignee on each row.
  • Outstanding: invoices that are sent but not settled, so you can see what's left to chase without opening a report.
  • Quote win rate: how the quarter's quotes are converting.
  • Collected: what actually came in, charted over recent months.

The board is live: when a cleaner clocks in or a visit completes from the field, the row updates without a refresh.

Where everything lives#

The sidebar is the whole map. Every module reads and writes the same records, so a client opened from an invoice is the same client the schedule shows.

  • Schedule: the calendar, with week, day, team, and site views.
  • Clients & Contacts: who you work for, their sites, and their history.
  • Jobs: the work itself, one-off or recurring, with every visit under it.
  • Quotes & Invoices: the money rail, from draft to paid.
  • Reports: revenue, client profitability, receivables, payroll.
  • Team & Settings: people, roles, and workspace defaults.

03

Clients & sites

Clients, sites, and how they connect#

A client is who you bill; a site is where the work happens. One client can hold many sites (a managing agent with a dozen buildings is one record, not twelve), and every job, visit, quote, and invoice hangs off that client's history.

  • Clients can be businesses or domestic contacts; the record adapts to which.
  • CSV import brings an existing client book in at once; the address book keeps everyone searchable.
  • The client's currency, name, and details are what appear on everything they see.

Site access notes: gate codes that reach the crew#

Each site carries its own access notes: gate codes, key safe locations, parking, alarm procedures, who to call on site. The note lives on the site record and travels with every visit there. The crew reads it on their phone during the visit, without calling the office.

NoteUpdate the note once on the site and every future visit carries the new version. Nothing is copied around by hand.

04

Scheduling

Calendar views and drag-and-drop#

The schedule has week, day, team, and site views. Team view puts one row per person on screen, which is where dispatch decisions get easy: drag a visit into a gap and clashes surface as you move it, including warnings when an assignment overlaps someone's approved time off.

  • Drag to reschedule; click to assign or reassign.
  • Changes reach the assignee's phone immediately, and the field app shows the updated day without a refresh.
  • Every visit moves from scheduled to in progress to completed (or cancelled), and the calendar colours follow.

How recurring jobs create visits#

A job is either one-off or recurring. Recurring jobs carry a pattern: daily (every day or weekdays only), weekly, or monthly. Exeo expands the pattern into real visits on the calendar automatically.

  • Visits are generated 60 days ahead, and an hourly background job keeps that horizon topped up so the calendar never runs out.
  • Pause a job and it stops producing visits until you resume it; complete or cancel it and the pattern ends.
  • Each generated visit is a normal visit: assignable, movable, and billable like any other.

NoteEditing the pattern changes future visits only. History stays as it actually happened.

Holiday rules: skip the day or move off it#

The workspace holiday calendar keeps recurring work from landing on days nobody works. Each holiday carries one of two actions: SKIP (the visit for that day simply isn't created) or MOVE (the visit shifts off the holiday instead).

Time off and on-leave warnings#

The workforce requests time off from the app; each request is pending until an admin approves or denies it. Approved leave then shows up right inside scheduling. If you assign a visit over someone's leave, the calendar warns you as soon as you make the assignment.

05

Quotes

The quote lifecycle, state by state#

Every quote moves through a fixed set of states: draft, sent, approved or declined, and converted. The quotes board shows where everything stands, along with your win rate and what's still awaiting a reply.

  • Draft: the quote is being built, with line items priced from your services and your numbering and validity defaults applied.
  • Sent: delivered to the client, carrying a secure portal link so the answer can come from them.
  • Approved / Declined: the client's decision, from the portal or recorded by you.
  • Converted: the quote became a job. Pricing, site, and notes travel with it, so nothing is retyped.

What happens when a quote is approved#

  1. 1The client opens their secure link and taps Approve (or Decline). They don't need an account or a password.
  2. 2The quote's status updates on your board the moment they answer.
  3. 3One click converts the approved quote into a job with the same title, site, and notes, ready to schedule.

NoteConversion is deliberate, not automatic: you choose when the approved quote becomes scheduled work.

Validity dates and expiry nudges#

Quotes carry a valid-until date from your workspace defaults. As that date approaches on a quote that's still unanswered, Exeo sends a nudge so the follow-up happens before the quote lapses.

06

Client portal

How the portal works: no accounts, one link per document#

Clients never create an account. Each document you send (a quote, an invoice, a statement) carries its own secure link, scoped to that one document. Your company name, details, and currency are what they see throughout.

  • Quote links let the client approve or decline in one tap.
  • Invoice links show what's owed and how to pay; statement links show the month in one place.
  • Quote, invoice, and statement links live for 90 days by default. Every link can be revoked early from your side.

NoteA link covers exactly one document. Revoking one link kills that link only. Nothing else the client holds is affected.

Monthly statements#

A statement gathers a client's month (invoices raised, payments received, balance standing) on one portal link. For clients with many sites, it's the answer to "what am I paying for" without an email essay: they open the link and read it themselves.

07

Invoicing & payments

Invoices are built from completed visits#

You bill the work that actually happened: completed visits become invoice lines, priced from your service list. An invoice moves from draft to sent to paid, and can be voided if it should never have existed.

  • Numbering follows your workspace defaults, with your own prefix and sequence.
  • Tax follows your tax mode: exclusive, inclusive, or no tax; discounts can be a percentage or a flat amount.
  • The sent invoice carries a portal link, so the client sees the same document you do.

Recording payments and partial payments#

Record payments as they arrive: card, bank transfer, cheque, or cash. Partial payments are first-class. Each one reduces the running balance, and the moment the balance reaches zero the invoice marks itself paid, so you never change the status by hand.

Recurring invoicing for contract work#

Contract clients can be billed on a fixed cadence: monthly on the 1st, monthly on the 15th, every second Monday, or weekly on Mondays. The draft is raised on schedule and priced from your services, so you review and send it instead of rebuilding last month's invoice.

08

Reminders & automations

The invoice reminder ladder#

Unpaid invoices are chased automatically. The tone follows the calendar: a rung before the due date is a courtesy note; rungs after it are follow-ups. The ladder runs until the invoice is paid or you stop it.

  • Starter: one reminder after the due date, and you pick which day it lands on.
  • Pro: up to four reminders, including a courtesy note before the due date, on a schedule you control.
  • Business: up to six, with the same controls.

NoteMessages go out in your workspace's local morning, so clients are never emailed at 2am because your server lives somewhere else.

Visit reminders and the weekly digest#

Two quieter automations run alongside the invoice ladder: clients get a reminder ahead of an upcoming visit, and you get a weekly digest of the week ahead, aligned to whichever day your workspace week starts on.

09

Workforce app

A tour of the app: five tabs#

  • Today: the day's route in order, with each visit one tap away.
  • Schedule: the days ahead, as the office plans them.
  • Hours: the week's clocked time and estimated pay, built from real clock-ins.
  • Inbox: visit threads and alerts, with per-thread unread badges.
  • Profile: the person's own details and time-off requests.

Opening a visit shows everything that visit needs: the site's access notes, the task checklist, photo capture, the client signature step, and the visit's message thread.

Clock-in, GPS stamps, and the timesheet#

Clocking in and out stamps the timesheet automatically, with a GPS fix recorded at each stamp. Entries are marked by their source (GPS clock-in or manual entry), so payroll can tell measured time from typed time.

NoteLocation is captured at clock-in and clock-out. Exeo does not track anyone's position between stamps.

Working with weak or no signal#

The schedule is cached on the phone: today's route, site notes, and checklists stay readable in basements, plant rooms, and dead zones. Work recorded offline syncs when the signal returns.

10

Messaging & notifications

Visit threads: chat attached to the work#

Every visit carries its own message thread. The question about the gate code and the office's answer stay attached to that visit, so new team members can read the history of the work instead of digging through an old group chat. Unread messages badge per thread in the app's Inbox.

Tuning who gets alerted about what#

Alerts (messages, assignments, time-off decisions, and the rest) are grouped into categories, and each category can be switched per person and per channel. The bell in the dashboard and the notifications screen in the app read from the same stream.

11

Reports & payroll

Revenue and aged receivables#

  • Revenue: collected versus outstanding over the last six months, so growth and chasing are on the same chart.
  • Aged receivables: what's owed, bucketed by how late it is, so the oldest money gets chased first.

Client profitability: invoiced vs labour#

Profitability puts what you invoiced a client next to what their work cost in labour, from real clocked hours. The client who looks big by revenue and the client who actually pays for the month are not always the same client. This report is where you find out.

Exporting payroll as CSV#

Payroll is built from the timesheets the app already recorded (clock-ins with their GPS stamps, per person, per period) and exports as a CSV your accountant can open anywhere. Nobody has to retype hours from paper.

NoteReports and payroll export are included on Pro and Business.
